First Month-Last Month Coordination

The Apple Blossom Package is perfect for the couple that needs a kick start with helping plan their wedding day, but can handle all of the nitty gritty details of interviewing vendors, making final decisions, and planning a majority of the smaller details. Sweet Blossom Weddings will help get you off on the right start with planning a successful wedding day with pointing you in the right direction for the first few months. In the mid-months, we will be available to help review any contracts, if needed, as well as help answer any questions. 

This package includes a total of four in-person meetings prior to your wedding day


Prior to your wedding day:

  • Unlimited correspondence via email, phone or text
  • One design meeting (preferably in-person) to help assist you in creating an inspirational board with color scheme, theme, linen options, and overall design direction for your wedding
  • Referrals for a minimum of three (3) vendors in each category best suited to the client’s style and budget (entertainment, photographer, videographer, stationery, baker, caterer, beverage service, valet, florist, officiant, décor, and/or rentals)
  • Contact vendors to ensure their availability before your first meeting
  • Provide a customized month-by-month task list for you to follow that leads you up to your wedding day
  • Create an itemized budget spreadsheet for you to follow
  • Establish a vendor payment schedule to keep you on track with payments
  • Access to Aisle Planner (an online wedding planning organization tool) to help throughout your wedding planning months
  • Review final vendor contracts for all the fundamentals, arrival/pickup times, and go over any details or questions you may have, if needed
  • Verify quantities on rental items, if needed
  • Attend final meeting with florist (preferably with the mock-up of the floral arrangement and table arrangements)
  • Attend tasting meeting with selected caterer or venue
  • Review complete BEO (Banquet Event Order) provided by caterer/venue
  • Attend final walk-through meeting, preferably at venue, 6 weeks prior to the wedding day to discuss wedding timeline
  • Creation of the minute-by-minute Wedding Day timeline to include:
    • A Master Timeline and Access List prepared for all vendors
    • A full Set-Up Outline and Checklist of items prepared for the floral team, décor, rentals and any other miscellaneous items for everyone to follow, including SBW assistants
    • Shortened version of the timing of events to everyone in your wedding party, if requested
  • Contact all vendors to ensure correct items are prepared and make sure they are aware of arrival times, pick-up times, as well as communicate venue’s procedures for load in, set up, and tear down
  • Distribute Master Timeline to all vendors one week prior to wedding day
  • Pick up miscellaneous items prior to the wedding day or possibly pick them up at the rehearsal or venue on day of wedding (i.e.; favors/toasting glasses, cake knife, frames, any personal décor items, etc.)
  • Attend, coordinate, and assist wedding officiant at rehearsal day before wedding with bridal party and family

Three planners to help on your wedding day:

  • Lead Wedding Coordinator onsite and available up to 4 hours prior to ceremony start time. Oversees all event management until the end of the night
  • Set-up Assistant to provide up to 6 hours on day of wedding
  • Bridal Assistant to be a personal assistant for bride, bridesmaids and family, up to 6 hours on day of wedding

On your wedding day:

  • Make sure all vendor commitments are fulfilled to your standards
  • Coordinate timing of day’s events with the photographer and/or videographer
  • Cue and coordinate timing for ceremony musicians
  • Coordinate with DJ/Band to establish timing for grand entrance, first dance, cake cutting, bouquet toss, and/or garter toss
  • Distribute gratuities and/or final payments to vendors on your behalf, if needed
  • Liaison for all vendors and venue throughout the event 
  • Distribute and pin on all personal flowers, if needed
  • Line up family and bridal party for processional
  • Line up bridal party for Grand Entrance
  • Cue bride and groom and other members of the party for special events i.e.; toasts, dances, cake cutting, etc.
  • Be visible and available at all times to you, your fiancé, and your parents to ensure a stress free and enjoyable event
  • Ensure proper placement of items for reception i.e.; table numbers, favors, menus, candles, cake knife, toasting glasses, head table seating and any other miscellaneous items
  • Direct room set up and following floor plan and checking number of guests at each table  
  • Arrange all seating cards (escort cards) in alphabetical order
  • Assist with set up for ceremony (programs, flowers, unity sand/candle, chairs, etc.)
  • Assist with set up for cocktail hour and reception site, as well as transfer ceremony wedding décor, as needed
  • Ensure all finishing touches are achieved
  • Ensure all gifts are moved to bridal suite or designated room
  • Keep track of, pack up, and organize everything after wedding is finished (gifts, guest book, centerpieces, toasting flutes, decorations, etc.).
  • Ensure all rentals and décor items are picked up by specified vendors
  • Greet guests as they arrive and help with the flow of the evening for the guests
  • Management of entire wedding day from beginning to end, including any troubleshooting and taking care of any “situations” that may arise
